MIRA is an intelligent, publicly available, and accessible mental health system navigation chatbot, developed by the Mood Disorders Society of Canada, in collaboration with the University of Alberta, Dalhousie University, the APEC Digital Hub for Mental Health, and other collaborating organizations listed below. About the Role

We are seeking a dynamic and highly organized full-time (3-year) MDSC National Project Coordinator to lead the successful execution of the MIRA project. This role is pivotal in ensuring the project is delivered efficiently, adhering to the highest standards of project protocols, institutional and ethical policies, privacy legislation, and within set timelines. The ideal candidate will play a crucial role in project coordination, stakeholder engagement, documentation, reporting, and ensuring continuous quality and progress.

Under the direction of the MDSC National Executive Director, (NED), the National Project Coordinator is responsible for coordinating the growth and expansion of the MIRA initiative(https://mymira.ca) and is responsible for the completion of assigned tasks to ensure the achievement of overall organizational goals. Ensure that all MIRA Project activities are aligned with the project goals and are executed efficiently, and according to milestones and reporting requirements as set out in grant and sponsorship funding agreements, as well as by the MIRA Executive Team.

Location: This position will be remotely based, working from home.

Salary Range: 70,000 to 75,000/yr commensurate with experience

Key Responsibilities:

Project Coordination

  • Coordinate the execution of the MIRA project, assuring it is completed efficiently, adheres to project protocols, conforms to applicable institutional and ethical policies and procedures and privacy legislation, and that they are completed within the required timelines.
  • Identify, collect, and analyze relevant information relating to current projects, and provide input and recommendations to the senior team.
  • Collaborate directly with project stakeholders to define crystal-clear project objectives, scope, and deliverables, setting the stage for success.

Communication and Stakeholder Engagement

  • Assume the pivotal role of primary contact for all project-related communications to build valuable relationships across Canada.
  • Coordinate MIRA presentations to potential stakeholders, industry sectors, potential sponsors, and funders.
  • Maintains consistent contact and engagement with stakeholders including the Senior Team and Expert Advisory Committee.
  • Skillfully coordinate and lead regular meetings, fostering collaboration among project team members, stakeholders, and partners.
  • Provide regular updates on project progress, milestones, and potential challenges to key stakeholders.
  • Identify interdependencies between various groups and the project and facilitate communication among task groups.
  • Proactively identify potential risks to the project’s success and develop mitigation strategies to address these risks. This includes both internal and external risks, ranging from project delays to changes in regulatory environments.
  • Coordinating and collaborating with Graduate students and researchers.

Documentation, Reporting

  • Maintain meticulous and current project documentation, including meeting records and progress reports using cloud-based platforms.
  • Generating regular status reports and presenting comprehensive project updates to senior management.

Quality Assurance and Continuous Progress

  • Monitoring project deliverables, ensuring they align with benchmarks and project goals.
  • Implement precision-driven quality control processes including mechanisms for evaluating project outcomes and processes, and for collecting feedback from stakeholders and team members. Use this feedback to make informed adjustments to project strategies and to foster continuous improvement.
  • Ensure the project complies with all relevant laws, regulations, ethical, and industry standards. This responsibility requires staying updated on regulatory changes and implementing necessary adjustments to project processes and documentation.
  • Performs other related duties as assigned.

Our Ideal Candidate Will Possess:

  • Bachelor’s degree in a relevant field (Science or Business Administration); PMP certification is an asset.
  • A minimum of three (3) years of recent related experience in project management and/or a research development management role and/or certification as a Project Management Professional.
  • Strong knowledge of project management methodologies, tools, and best practices.
  • Strong knowledge and interest in technology and innovation, including but not limited to Artificial Intelligence and Machine Learning.
  • Exceptional written and verbal communication skills (Bilingual FR/EN an asset).
  • Ability to work comfortably in both a grassroots movement and a bureaucratic setting.
  • Demonstrated time management, organizational, analytical, and decision-making skills.
  • Ability to accept responsibility, work in a team environment, and work well independently.
  • Direct experience working within the mental health sector is an asset.
  • Capacity to work under pressure and manage multiple tasks simultaneously.

Additional Experience:

  • Knowledge gained through mental health lived experience is considered an asset.
  • Experience writing public communications, releases, and report writing skills.
  • Ability to accept responsibility and work independently.
  • Demonstrated ability to exercise initiative and independent judgment in performing duties.
  • Proven ability to collaborate effectively with diverse teams and stakeholders.
  • Proven experience seeking sponsorships and/or writing grant proposals.
